Part 2. Journeys
2.5 A wellbeing concern
An incident recorded, an escalation, a case, an individual plan with its review, and a child safety concern kept apart from them.

What this journey achieves
A concern about a student usually begins small: something a teacher saw in a class or in the yard. This journey follows one from the first note to a plan with a review date, and shows where a more serious matter goes so that it is not mixed in with the ordinary pastoral record.
A teacher records what happened. The head of house is told by the school's escalation rules and opens a case. The wellbeing team writes and reviews a plan. Where a child may be at risk of harm, the child safety officer records a concern on a separate register. The family reads the merits and sanctions the school has chosen to show in the portal.
The steps in order
- Teacher
Choose "Record an incident". Use "Add a student" for each student involved, and for each give the words about what happened to them. Choose the "Kind" and "Where", then "Record the incident". The incident shows on each student's record under the same reference.

The school's escalation rules decide when a head of house or tutor is told, for example after a number of demerits in a fortnight. The rules are set under Settings, Escalation rules, and an escalation fires once.

Open the student's page and the "Health and wellbeing" tab. Under Cases, choose "Open a case" and write a summary of what it is about. Others can be added to the case with "Add someone to the case".

On the student's page, choose "Open a plan", pick the "Template", name the "Owner", give the day it applies from and when a review is due, and choose "Open the plan". The plan's own page has "Write the goal" and "Record progress", and "Review the plan" sets the next review.

Plans due for review are listed together. Open one when its review date arrives and record the review.

Where a child may be at risk of harm, choose "Record a concern" on the student's page, or work from the Child safety list of open concerns. The concern is kept apart from the case and is read only by those who hold the child safety capability.

A parent reads the Wellbeing section of the child's page in the portal: "Merits and notes" and "Sanctions".

When the matter is settled, open the case and choose "Close the case". The entries stay on the student's record.

Things to watch for
What happens next
A closed case keeps its entries on the student's record. A plan that is still open continues to come up for review, and a concern stays on the child safety register until the officer closes it.
